Cleaning up Email Server

We are running Groupwise 8.0.2 on a Netware 6.5 SP8 server. We have about 900 email users on our server, some users accounts are 10 years old. We create accounts for about anyone in the district, including cafeteria workers, custodians, and teacher aides. I was wondering if there was a way to delete any messages that were say of over a year old and not read. Or if the account has not been logged into in over 6 months, delete all the unread mail?

    You can run an audit report ( via Console One ) which can tell you when they logged in last, then take appropriate action. We use GroupWise for all students, staff, and faculty - so we use this process to identify fallow accounts for all of our users. Typically we expire, disable, these delete the accounts. Once an account is deleted, its difficult to get back, so we typically wait a while to really, really, really delete the account.

    As for mail, you can use the Expire and Reduce operation to perform various types of aging. Be careful, it will do what its told, and if you tell it to do something stupid, it will. You can run a report to determine the potential impact of your settings using the Mailbox Statistics option. BE CAREFUL, and ensure you use the Mailbox Statistics operation first. If you accidentially choose Expire and Reduce, the messages will go bye-bye. Measure twice, cut

    And, move to GW on linux when you get a chance. Its more stable, faster, and enables easy upgrades. For example, our upgrade from GW 8 to GW 2012 took all of 5 minutes. This would have been many hours on NetWare. We finally, after 5 years, has to swap hardware under GroupWise. The prior server had 5 minutes of unplanned down time during the could of its life of 5 years. So well worth the effort.

    In addition to what Bob said:
    For the accounts that haven't been accessed in a long while, it might be
    worth checking with HR to see if they are even still with the
    organization as that answer helps in your cleanup choices.

    There are other ways to also keep your GW system trim and lean.
    A) make sure are running appropriate maintenance
    B) check to see who is using the most space and make sure they are well
    versed in managing their mail.
