Capacity Count

Hello,

I'd like to know more about how Content Manager counts capacity. 

Under File - Setup Information - Software License - Capacity - Capacity Used  I get a calculation of total records in the system and how many are remaining. 

I want to know:

1. What is it counting exactly? Documents, Folders, what?
2. Are destroyed records retained in the count if metadata is preserved? If metadata is not preserved?
3. Is there any way to get a report breaking down the capacity count by Owner, Record Type, etc.?

Note: I am still on version 10.0 - does anything change in later versions?

    as I am not logged into A CM system I can’t check these, but hope this helps

    1. What is it counting exactly? Documents, Folders, what?

    I believe that both documents and folders will be included in the count as they are both CM records  

    An easy way to check is to note the count and then add a temporary folder and check the count again. 

    This method could also be used to check if documents with attachments are counted differently, although I expect they are not  


    2. Are destroyed records retained in the count if metadata is preserved? If metadata is not preserved?

    If metadata is preserved then a record still exists and as I stated above the count may be the same. 
    If metadata is not preserved, the record is removed altogether and should no longer be in the count. 


    3. Is there any way to get a report breaking down the capacity count by Owner, Record Type, etc.?

    This can be done from a print merge from the results of a search, but not as useful for large datasets. 
    From memory there may also be a report available with templates output, 
    An alternative would be to use the Dataport utility against a saved search. From which you can select which fields you want in the output to a tab delimited file , which you can import into excel. 
    Lastly you could run a SQL query which will need various joins on tables, and would be very performant.

    I had a few mins to check the first two items out:

    1. What is it counting exactly? Documents, Folders, what?

    As suggested, records are counted whether they are folders or documents. Adding versions make no difference to the count.


    2. Are destroyed records retained in the count if metadata is preserved? If metadata is not preserved?

    If Destroyed, even with the meta data retained the count reduces. Note: all attachment version are removed
    If Deleted afterwards via Administrative Delete to remove the record altogether, the count does not reduce further. This is as expected as the count had already been reduced by the disposal.
