Custom Templates for GroupWise Email

A. Not with GroupWise natively. There may be third party utilities out there that can do this however they are usually not free. There might be some solutions out there that our creative readers have come up with. Anyone got a clever idea for this?

    GroupWise will not let you save a view and keep the HTML information. You will loose the picture when saving as a view file.

    To do templates in GroupWise is easy. Not sure why others think it's not there or hard.

    Open a email, fill in the "to" field or leave it blank if it never goes to the same address.
    Fill in a subject line, Type up the body of the email as you want it to read.
    Now on the same email click on the "File" toolbar option, then select "Save View". It wil open a explorer windows and want you to name it. Leave it set to the GroupWise folder and just type in the name of your template in the "File Name" field and click "Save:"
    Another dialog box will open and ask you to Name the "View Name" This is what will appear in GroupWise, I always use the same name as the the last window when you saved the file.

    Ok now close the email and select no to save it. Go to the down arrow beside "NEW MAIL" button on the GroupWise Client tool bar. Click on the down arrow and you will see Mail*, Mail(simple) Posted Message and then the new template name you just made.. Click on the new name and your new template will open. Do any editing and send it out.

    Once in a while on select pc's I have seen where the template opens smaller than you might like. Re-size the window to your liking and go the the steps to save it again. Pick your saved file and over write it. Now it will look correct.
    No need for 3rd party apps, also if you need to do this on multiple pc's you can make the template on the first pc, then go to the GW folder where the file saves and cope the file to the same location on other pc's and it will show up on there pc too.

    You can save the file on the desktop and just click on it to send it out. That was described in other post on here.

    After distributing the .vew files (using ZENworks), to the Groupwise root folder, the templates are selectable from within the client. Just click the drop-down by New Mail, and the templates will be listed. The key is, when you save the .VEW file, there are two dialogs. The first asks for a file name, the second asks for the View Name. View Name defaults to "Mail," but you'll want to change it to a descriptive name for the template. For instance, if you save it with the View Name "Template 1", your Groupwise client will show "Template 1" in the drop-down list.

    This works with GW 8.02, I don't know about any other versions.
    GroupWise is very annoying for templates. If it was for personal use you could create some emails of the right format and send them to yourself. Then save the sent items into a Templates folder and use the Resend option. This works well for personal use and HTML emails. Unfortunately you can't just put a sent item in a shared folder to use as a template since the people you share with can't do a Resend on them.

    Even Work-in-Progress doesn't work for templates because once you send a draft the email is removed from the WIP folder.

    Saving as a View works for basic emails but removes most of the HTML formatting unfortunately.

    Formativ might be your best option.
    We have done this by creating the "template" e-mail and then saving it as a .VEW file. (File - Save View)

    Then distribute the .VEW file to those who need it. To use it they simple double-click the .VEW file and a new e-mail is created with the bits and pieces in it ready for finishing and sending off.


    For a solution within the Groupwise Windows Client, probably the best solution is Advansys Formative ( If you wish to do something like forms and have them processed as a workflow, a great solution would be Novell Vibe On-Prem. Vibe also has integration with Groupwise, as well as Document Management, Blogs, Wikis and many other features. Both solutions are pretty well priced.
