CM 9.3.2 Outlook Integration

When saving an email from Outlook, a message box pops up asking the user to either select an existing location or to create a new one (see attached screenshot) to populate the Author field.

Is there a way to turn off this behaviour?

We're currently on CM9.2, so I'm not sure if the settings are the same, but under System Options > Email Records, if you tick the Create contracts from email recipients box, it should automate the process and stop asking for Location information.  Any new contacts will be created as Unknown Locations.

Thanks for your reply Heather. Unfortunately, in 9.3.2 ticking the  'Create contacts from email recipients' does not make a difference. The user is still being asked for Location information.

Go to Manage, Record Types and open up that particular record type it means that Author has been set as a mandatory field, change it from mandatory and you shouldn't get that error any more.

Thanks Shelley Mac. Had tried that as well but didn't make a difference either. The only way is to remove the field from the record type, but we actually need this field and users need to be able to populate it.

Have you tried ticking /unticking the "Extract metadata contained within the content of the document" option? in in version 9.3 this option is here:

System options->Record tab->When creating a new record with an attached document:

Under System Options > Locations you'll find two checkboxes:

  • Use strict validation for record contacts
  • Use strict validation for any other uses of locations

Try playing around with unchecking these options.

"Strict validation" forces the user to use KwikSelect to confirm the location they are selecting.

Outlook is not as 'strict' with validation as the Desktop Client, but this might allow users to proceed without being prompted.
