Changing the Classification (Category) does not update the retention schedule (CM 9.2)

Jump to solution

We have exiting records with and without a Classification.  Those with classifications inherit their retention schedules from the Classification and the destruction dates are calculated from that.  That is working.

Users have discovered that some records have been classified incorrectly.  When changing the Classification the Retention Schedule is not updated from the new Classification but retains the original schedule.

I'm presuming this is expected behaviour... I'm hoping not and that I'm just doing something wrong.

Additional Info:

  • I've enabled the Schedule Event Triggers event processor
  • I have enabled the cascade file plans option under administration options
  • A manual destruction date was applied to these records (right-click/Archiving/Retention - set manual date

I will resort to coding an update application if there is no other workaround.

Please help.

Micro Focus support was able to reproduce the issue.  In short - this checkbox is disabled on In-Active (SemiCurrent) records.

As soon as you make the record active the options are available again.

I have asked for it to be logged as a bug - we'll see what is decided.

Was the 'Upgrade retention schedule' checkbox checked when the Classification was changed?

Hi

I never used the right-click/details/category to update the record (i didn't know of the function until you showed me now, thanks!).  I was changing on the record properties.

So i tried that out - below - but the schedule option is greyed out.  I've looked at the help (also below) and there is no indication there why the schedule option is greyed.

Do you perhaps know why or under which circumstances it would be disabled?

Have you checked in Security and Audit - View Rights to see whether you have the Retention permission?

Hi

Affirmative (see below).  I am logged in as an administrator so I have Archivist permissions.

I have logged a ticket with MF as this is becoming urgent.  I appreciate the assistance thus far - learnt new things about the product because of this post.

I will post their response as the solution to this question - unless one of you nerds can solve it first. 😉

PS:  When using another dataset - the function is available.  There is something different with my overall config or record type settings withing the target dataset... is my best guess.
