Sending URL Reference / Email notification / Webclient

When an actioned is assigned to a document it sends an email notification to staff with a TR5 file attached which links to the document in CM9.

Is it possible to also have a URL link in this email.

The reason i ask is we are looking at using the webclient for staff to access CM9 out of the office. My understanding is that TR5 files dont link to the webclient. So if we could have the URL link in the email also they would then be able to access/view the document in the webclient when out of the office.

Yes. You can do this by editing your 'Email Templates' in the administration tab. It's possible to customise the emails that are sent at any stage of the action (e.g. action assigned, made current, re-assigned, completed). In the body of the email template you can add variables to most bits of metadata associated with the record. The variable for the record URL is - %MO_P_url% - in 8.3 at least. Not sure if it changes in later versions.

To send the CM9 Record url you would

- enable the webclient and under the Administration - Systems Option - One of the tabs provide the Web Client URL (general) and select the Web Client reference to be sent in an email.

However, (reading through your requirements of staff accessing the CM out of office) an Email carrying the url link will require either WebClient be Internet facing site for users to access CM data out of offce OR to be connected through VPN to the network.
