Filr 2 introduces Files on Demand!!!

Why download all your files to your Laptop/Desktop when you can download only what’s needed and when it’s needed? One of the key features Filr 2 delivers is “Files on Demand” Desktop Client.

With “Files on Demand”, you don’t need to download/sync all your files to which you have access from your servers. You can browse/list all of your files and folders, but you get the power to download only the files you need— that too by just by opening the file.

  • No time spent upfront to sync files to desktop/laptop — just install the client and get working. Welcome to instant productivity!!!

  • File syncs are now super-fast. A new file uploaded and shared with 20 of your team members won’t be transferred to all 20 unless they open/download it explicitly.

  • Less network traffic: A wrongly uploaded shared file doesn’t result in multiple downloads and thus doesn’t hog your network.

  • Less load on Filr server: less file transfers means less load on the server resources.

  • Simpler for end users: end users now don’t need to select each of the Netfolders they wish to sync down to laptop/desktop. All Netfolders they have access to are available to them but nothing gets synced till they want.

  • Low disk usage: only requested files are stored on your hard disk and this prevents you from converting your desktop/laptop HDD to yet another copy of the file-server.

Filr continues allowing you to keep a copy of folder and files if you need in your Desktop/Laptop so that you can work even from the remotest place without having connectivity. Filr will also provide options to remove files which hasn’t been used for some/customizable number of days.

There are two ways to get the file downloaded to your desktop/laptop:

  • By opening the file: double click or open the file using the application you use – a local temporary copy of file gets downloaded. This ‘cached’ copy of file stays in your HDD till you don’t reopen it for the configured number of days specified set under 'Remove cached files after n days' client setting. Note that after the number of days – only the local copy of downloaded file gets removed from Desktop/Laptop’s local hard disk drive, the file continues to stay on server. It gets downloaded as cached file if you again open it by opening the file.

  • By explicitly making the file OR parent folder ‘offline’: This can be achieved by right clicking a file or its parent folder and selecting the context menu option “Make available offline” as seen in the screenshot below. Making a file available offline downloads the file and making a folder available offline downloads all the files and subfolders under the folder. Once ‘offlined’ – the copy of files/folders stays in the Desktop/Laptop’s local hard disk drive. Unlike ‘cached files’ – the ‘offlined’ files local doesn’t get automatically removed from Desktop/Laptop’s local hard disk drive based on 'Remove cached files after n days' client setting. Thus if you have a folder whose complete content you always want in your laptop/desktop so that you can work on it when not connected to Filr server – just make it offline. Any changes by your team member to file or modification to the folder structure gets automatically synced to Desktop/Laptop’s local hard disk drive and any changes you make to the file/folder gets synced up to server.

How do you know which files/folders are offlined and which aren’t: all files and folders having a green tick mark on them are offlined or cached. All files/folders which don’t have the green tick mark are online files/folder – which you can browse through when connected to Filr server but file isn’t pulled down without you opening or explicitly marking it offline. Here is how it would look:

Now –you had offlined some files/folders for a particular assignment. Once the assignment is over – you don’t want to continue keeping a local copy of the files/folders as you know that you won’t be needing them for some time. To remove the local copies of cached/offline files: just select the context menu option to ‘Make available online-only’ (as in the figure below). The local copies of these files will be removed from your Desktop/Laptop’s local hard disk drive.

  1. As you may already noted by now – there is only one difference wrt ‘Cached’ vs ‘Offline’ files. The local copy of ‘Cached’ files get automatically removed from Desktop/Laptop’s hard drive if the file is not opened for more than the 'Remove cached files after n days' client setting. Whereas the copy of files marked offline stays in your Desktop/Laptop’s local hard disk drive till you explicability mark the files or folders containing them ‘Make available online-only’.

  2. All the files and folders which are in cached/offline mode will automatically get synced to Filr server. Which means – if another user makes any changes to the file: your copy of file automatically gets updated. It also means that for any changes like addition of files to a folder which is ‘Cached’/’Offline’ in your system will automatically get the synced to your Desktop/Laptop. So, if you want to be have all the files inside a folder offline for working when you aren’t on network – just mark the folder offline.

  3. Also note that there is one more capability we have added in Filr 2 Desktop Clients which allows you to synchronize a particular folder/subfolder/file without needing to sync everything down. Right click and file/folder and check ‘Synchronize Now’ context menu we have added for you.

  4. If you were already using Filr 1.2 Desktop Client – the migration to Filr 2 Desktop clients are very easy. Just upgrade the Desktop Client and all your existing files/folders would be treated as ‘Offline’.

  5. If you haven’t logged into Filr Client OR if you aren’t connected to network: then you will be able to browse through all your folders and subfolder and see and open ‘Offline’/’Cached’ files. Thus no online file would be see in this state.

Now isn’t all of the above really cool?

With all these controls and options - you now will have Integrated Desktop Experience.

Let your files serve you and not vice versa!!!
