Create post office that only sends mail to internal users

I would like to set up a separate post office for our employees to send only internal mail messages and reports, but not be able to send to an external user. They would need to use the post office designated for external mail for that.

We are running GW2012. We currently have one Post office, and one tree.

Is this possible? How would they switch post offices when they needed to send external email vs internal? Would I have to license more mailboxes?(essentially doubling my user mailboxes) . Is this difficult to set up? Anyone currently doing this now?

The main goal of all of this is to ensure that my employees can send confidential info internally without "accidentally" being able to include an external address, thus compromising data security/privacy. We have a solution for sending confidential info externally though our service provider, but have gotten requests to see if there is a way to use separate mailboxes?

Any suggestions?

Hi Tom,

The only way that I know of the prevent people from sending mail external is to set up a Class Of Service on the GWIA preventing mail from being sent externally. I normally add a GroupWise distribution list to this class of service and then add/remove the necessary people from the distribution list as per necessary. I don't know of a way to do this at a post office level.

I am not familiar with setting a COS in GWIA. What settings would I need to look at? Where?

Hi,

In ConsoleOne | GroupWise view | right-click GWIA | Properties | Access Control tab | create new COS (I'm not too sure of the buttons on the screen) | SMTP outgoing | Prevent Outgoing Messages

You can also prevent incoming internet mail - SMTP Incoming | Prevent Incoming Messages

Note that you can also add exceptions. For example a client of mine has disabled internet mail inbound/outbound for their factory floor workers, but they are able to receive work orders from specific external clients.

Create a GroupWise distribution list - I called mine NoInternetMail

Add that distribution list as a member of the COS

Add/Remove people from that distribution list as you see fit - that way you don't have to come back to the GWIA and fiddle with the COS.

Basically you would have GW two icons either on their desktop and/or in
their start menu, perhaps unique to system Profiles tuned to the tasks at
hand. It is just a matter of adding the correct options to the icon's
target. I do this all the time though mostly with caching mailboxes as the
first example, as I have an account at some of my client which are very
much different systems. (So for testing I get to email myself lots 😉

/pc-C:\clients\clientA\gwremote
or in your case would be more like the following where you could use an
IP address vs the DNS name. If you are running the POA on the same server
as the main one, you will need to assign it a separate port as in this
example.

/ipa-gw.domain.com /ipp=1678

Yes this would double up the licensing for those users. But there are
ways to manage that some as well. If only using WebAccess and no other
eDir, then there is the limited license option.

Another way is to have the internal only POA have limited visibility.
