Librarians

According to documentation, a librarian CAN modify the security of a
certain document even if he/she doesn't have access to it.
How is this being accomplished, since a find returns no results (after
QuickIndexing update, of course)?

Thanks,

Ovidiu Z

Re: Librarians

Find will only work on the subject or something in the properties, not on
anything in the document contents. The document number still works of
course.

Cheers Dave

Re: Librarians

It doesn't work. Maybe it's something I'm not doing.

These are the steps I took:
I created a document using a test1 account (Doc number 4).I didn't share the
document.
I configured test2 as the librarian (the Manage check-box in C1).
I did a search being logged as test2. I tried using different search
criteria, as you suggested: doc number, doc subject...No results.
Any ideas?

By the way, if using no criteria, shouldn't find return all the documents in
the library?
I need this so that a librarian can adjust the document properties and
possibly changing their security, when the users fill in the wrong info.
This wouldn't be a "PRIVACY" threat, since any doc security changes are also
mailed to the author and the creator, right?

Thanks in advance,

Ovidiu Z

Re: Librarians

This library definitely checked when you define the search ?, by default
it only picks up the client's default library.

If user1 mails the doc reference to user2, can user2 then see and edit the
document properties ?

when you do a search, is there now a checkbox at the bottom left that says
"Apply Librarian Rights"? Of course, this must be checked, and if it is not
there, it means that your "rights" as the librarian have not been recognized
by the client yet.

Also, I don't see the beginning of this thread, but I'm assuming that you
and Dave have already discussed the QuickFinder process and the need for the
indexes to have been updated before you find anything?

Yes, I made sure the selection is right.

Yes, and he can also view the document! Sharing still shows no access
granted to user2. Is this supposed to happen?

No, there is nothing as such! It's the first time I hear about this :-(.
What could be wrong with the client?

Sure, it's the first step I took.

It works! Apparently the librarian must set the as default the library in
which he wants to search in order for that "Apply Librarian Rights" to
appear.

Thanks a lot for helping me. Hadn't you told me about the existence of that
option, I could have spent
a lot of time not knowing what was wrong.

Re: Librarians

Then if you can access the properties without rights, then the system is
seeing user2 as the librarian - sounds like the indexes are screwed, try
Ctrl-Shift-Q at the poa screen of the post office owning the library
