Role Request/Approval Forms


Is it possible to make the Role Requests form available as part of the
Make a Process Request list? We haven't yet leveraged the Role/Resource
requests out of RBPM yet, but have several workflows and I'd like to
make the transition as seamless as possible for our end users. I have a
custom role request form for some of my roles, but they aren't visible
when I browse the list of available process requests. I would hope that
there would be a way to leverage the existing workflow for roles instead
of having to create a separate PRD.

Any input would be greatly appreciated!!

Greetings,
If you want to use a workflow for Requesting a Role or Resource then
make sure not to select "role" as the category. That category will
never show-up in the User App UI. You can create your own Category to
help separate your WFs.

That doesn't seem to make a difference if the Process Type is Role
Approval. I'd like to have a single PRD or Role Approval WF be
accessible regardless of how the user makes the requests (via Dashboard
Make a Process Request or via the Assign Role process). Is that not an
option? I tried to change the category, but the Role Approval WF was
still not visible.

Greetings,
Role/Resource Approvals are not like any "normal" workflow. Are you
trying to have both the Role Request and Role Approval be accomplished
within the same one (1) workflow?

Off the top of my head, I believe that a Role/Resource Approval WF
will not show-up in the UI to select.

You can have a WF to request the Role/Resource that would be
available to select. But the different Approval Workflow will not
appear to be started manually, because they are started only by the RRSD.

Ok, that's what I thought. I was just hoping it would provide a more
seamless end user experience.

If you are using a Workflow for Requesting a Role then you *could*
elect to not require a Workflow for the "actual" Role Approval.
Meaning, your Role Request Workflow would look similar to

Start -> Approval Activity -> (If Approved) Role Request Activity -> Finish

Since you would be Approving before the Actual Role Request object is
created you in essence approved it.

Does that make sense?

That makes sense. I was just being greedy and wanting the best of both
scenarios, where a user could go through the normal PRD request process
OR use the Role Assignment method. Eventually we'll move to the role
assignment method, but I was hoping I could bridge the transition
somehow. I supposed I could create a workflow with no approvers that
would kick off a Role Request Activity and then use the Role Approval
workflow to handle the actual approvals of the role.
