How to deal with exceptions what to archive? (Groupwise)

Hi.

For legal reasons, we must exclude not only several whole mailboxes
(that part is easy), but also several internal and external email
addresses, both as sender and as recipient from being archived.

Aka, when archiving the regular Groupwise mailbox of UserX, we *must* by
law exclude all messages sent by this user to certain email addresses,
both external and internal.

We also need a way to exclude messages addressed to certain distribution
lists from being archived from the mailboxes of the members of the
distribution list, again, both ifrom internal and external senders, from
sender and receipient mailboxes. Aka if a mail originally was sent to
ListA, and that list has members UserA, UserB and UserC, we need an
exception that that message does not get archived by Retain (we're at
4.6) from those user mailboxes. If the message was sent by an internal
user, we also must not archive the sent item.

I tried to play with advanced criteria in the Job, but that doesn't do
it, mainly as it has a limit of maximum 6 criterias a job can have, and
that's not eneough for us (we need minimum twice as many), but also
because I was unable to make it act on our Distribution List scenario
above. There doesn't seem to be a way to exclude messages originally
sent to a distribution list that way.

Would it be possible to use the 'Item Deletion' jobs as a way of cleaning
up all messages that can't be caught with the limits of those few
exceptions?
Such a pity the PM or developers aren't using the Retain Ideas portal that
was set up for them. Since Mr Automatic is avoiding you, I'll say it,
perhaps an SR is needed to kick things along since I know you've already
hit the docs.

Are those legal reasons a standard regulation/law such as GDPR that you
could refer to or is it something else?

That's an idea, I'll try to play around with that.

Yes, I guess the ideas portal thing is one more symptom of the ongoing
integration issues of Gwava into Micro Focus.

Yes. For instance, here you're required by law to delete job application
emails (of course if the candidate didn't get the job) after 6 month latest.

Of course, if you plan this now with Retain in mind, you can setup a
system where that's easy, but Groupwise here is in use for almost 30
years, so Retain should be able to adopt to the established processes,
not the other way round.
Oh, and the limit of 6 advanced criterias isn't mentioned in the docs
anywhere. You only realize it's there when you try to enter a 7th.

Looks like I may have gotten things rolling on this front.
So I would say please add it to the Ideas portal mf-retain so we can
start this ball rolling.
But to keep it from overwhelming them now that we've gotten them looking
at it, I'll leave the URL as a bit of a scavenger hunt as it was really
easy to guess and edit the URL based on the other MicroFocus Ideas Portal
URLs.
