Knowledge Management Externally Published documents

Jump to solution

I have a  requirement to publish knowledge documents externally so that only the department publishing the knowledge doc should be able to access it through ESS.

eg Department 'A' publishes Externally and only members of this department can access it through ESS, similarly Department 'B 'publishes Externally and only members of department 'B' can access it.

Example configuration

1. User A, User B, User C are assigned to the 'Department A' KMGroup and 'Department A' KMGroup is assigned to Department A KMCategory

2. User D, User E, User F are assignned to the "Department B" KMGroup and 'Department B' KMGroups is assigned to 'Department B' KMCategory

3. Ensure that neither of these two KMCategories have the Default Knowledge Group assigned to them.

After following the above Users in Department A KMGroup will only see Department A documents and users in Department B KMGroup will only see Department  B documents.

You could use the Knowledge groups, this is probably more useful if each department is using their own Categories of document.

Because all users are automatically added to the Default Knowledge Group. If that is assigned to anything everyone in that group sees the documents in that category.

Out of the box the 'DEFAULT' Knowledge Profile only allows the users in that KMGroup to do the following for the Documents in the Category.

1. Use Base Search
2. Use Advanced Search
3. View Externally Published Documents
4. Submit Feedback

Remember that Knowledge Management security is category based.

Users are assigned to a KMGroup.
The KMGroup is assigned to whatever KMCategories you want
The KMProfile is assigned to the KMGroup for that KMCategory.
